[Billing Fees](https://vestigohelp.mccreadiegroup.com/en/knowledgebase/billing?hsLang=en#billing-fees) October 12, 2026 # Understand Scheduled Fees ## Information for Vestigo billing users to understand scheduled fees and the scheduled fee engine  Scheduled fees recur at a selected interval and are processed by Vestigo based on the anniversary date and applicable fee conditions.    Available intervals are one time only, daily, weekly, monthly, quarterly, and annually. Common uses include maintenance fees and scheduled patient charges.   ### **Scheduled Fee Engine Behavior** - The scheduled fee engine runs daily for each client, early in the morning before the start of business. - The engine evaluates fees scheduled for the current run date using the anniversary date. It does not look back for fees edited to an earlier date. - If a fee requires inventory and none is available, the fee is not charged for that period. The next automatic charge occurs in the next period when inventory is available. - Scheduled fees stop when a study is closed through the close out protocol process. ### **Scheduled Patient Fees**  Scheduled patient fees are created for each enrolled patient using the fees established at enrollment. These patient fees can be edited or removed from the grid below the scheduled fees. They are automatically disabled when the patient is removed or the protocol is closed.   ### **Billing Charge Audit Log**  The read-only billing audit trail shows application-level fee changes, protocol fee changes, and edits to charged fees.
