# Edit Protocol - Local Tab

## This article explains how to configure the Protocol Local tab in Vestigo, including required permissions, facility assignments, protocol-specific settings, and their effects on inventory, reports, participant information, and dispensing workflows. 

The Protocol Local Information contains information about the protocol as it pertains to your site.  If the protocol is copied, the information from the protocol being copied will be brought into the new protocol.  

 

### Required Permissions

**ProtocolManagement** – Allows a user to have the “Edit Protocol” option and access to the Main tab

**EditProtocolLocal** – Ability to edit Protocol Local tab. Protocol Management permissions are required

 

### Facilities of this Protocol

Each protocol may include several facilities; however, it is required for every protocol to designate one Main Facility. Facilities listed in the protocol determine user access permissions. If a user does not have a role in any facility associated with a given protocol, they will be unable to view that protocol.

The designated facilities determine where inventory may be received or transferred. If a user is unable to receive or transfer inventory at a particular location, please verify that the facility associated with that location has been properly selected.

Entering the Study Site Number in this field will link it to the designated “Main” facility. Any additional locations or facilities within your organization utilizing the identical Site Number will be classified as “Remote” facilities. If another location or facility possesses a unique Site Number, a separate protocol must be created with its own Vestigo Protocol Identifier. The “Copy Protocol” wizard can be used to duplicate the protocol for a different Main facility as needed 

Things to consider when adding facilities:

- Alerts and Calendar entries will be posted on the screens associated with the Main Facility of the protocol.
- Monitor visits are associated with the facility deemed the Main Facility on the protocol.
- If a monitor visit is scheduled for more than one protocol and each protocol has a different main facility, the system will associate the visit with the main facility of the first protocol added when scheduling.
- The user does not have to be logged into the main facility, but they must have a permission to the main facility to schedule the monitor visit.

 

### Protocol Local Tab Settings

Each protocol offers a range of configuration options that can be tailored specifically to its requirements.

###### Protocol Group

The site-defined group for the protocol. Groups are used primarily to segregate workload. Additional Groups can be added from Application Administration by a local system administrator. ###### Protocol Binder Location

If your site has a binder for the protocol, you can select the location of it here.  Additional Binder Locations can be added from Application Administration by a local system administrator. ###### Protocol Sponsor Type 

The site-defined sponsor type for the protocol. Additional types can be added from Application Administration by a local system administrator. ###### Requires Shipment Receipt Verification to be set on Drug Builds

This setting will do two things:![](https://vestigohelp.mccreadiegroup.com/hs-fs/hubfs/image-png-Sep-18-2026-02-28-05-0110-AM.png?width=346&height=82&name=image-png-Sep-18-2026-02-28-05-0110-AM.png)

1. Turning this setting on will require that all drug builds on this study have Shipment Receipt Verification turned on. 
2. If a drug that does not have this setting enabled, site users will not be able to receive any inventory.

If you wish to track the IRB value and expiration, choose True. If true, you will be prompted to fill in the IRB number, the IRB status and the IRB expiration date. The IRB Expiration date is optional. If the IRB expires and it is not updated, you will be unable to dispense on the protocol.

 

###### Miscellaneous 1

A miscellaneous field that can be used for a site’s needs and shows up on protocol reports. ###### Miscellaneous 2

A miscellaneous field that can be used for a site’s needs and shows up on protocol reports. We recommend adding who Quality Checked protocol in this field.

 

###### Only Print Subject Initials on Labels/Reports

If this setting is set to Yes, participant initials will only be visible on reports from this protocol, including the Site Labels.

 

###### Print Subject Initials on DARF 

If this setting is Yes, then the patient initials will print on the DARF and default to True for Show Subject Initials filter when generating a DARF. Monitors will optionally be able to print DARFs with subject initials as well. IDS and Verify users can choose to generate the DARF without initials if this is set to yes.

If this setting is set to No, the option to print subject initials on the DARF will become locked to No for Vestigo Verify users. When the site generates the DARF, they will have the option to override the setting.

However, subject initials will display in other areas of Vestigo Verify such as the Returns tab and the Protocol Dispensing History Report with Returns.

For the option, “Prinit Subject Initials on DARF, the client level setting is the master override for this setting on the facility screen. The client level setting option is located on Application Administration – Edit Client and Facility Settings. If this setting is set to or updated to No, it will only impact new protocols.

If the Client-level “Print Subject Initials on DARF?” is checked (which means yes, print initials on DARF), it can be overridden at the Facility and Protocol-level. If it is unchecked, (which means no, do not print initials on DARF), the facility and protocol level options will be set to NO and disabled. Modifying this setting updates all protocols at the site.

###### Blind Subject PSN

If this setting is yes, the dispenses and Patient Specific transactions will say “Blinded PSN” in the PSN column rather than showing their initials. The site can override this setting during DARF generation, but the monitor will only be able to generate the DARF with blinded PSNs

If this setting is set to No, the option to display Participant PSNs will be defaulted to yes, but both IDS and Verify will have the choice to blind them during generation.

If the default is to blind the PSNs, the participant PSNs will display in other areas of Vestigo Verify such as the Returns tab and the Protocol Dispensing History Report with Returns.

 

###### Include Cycle Counts

If set to yes, cycle counts will be defaulted to be displayed on the DARF for the locations where cycle counts have been recorded. Parent locations without inventory will not display cycle counts. IDS and Verify users can optionally choose not to include cycle counts, regardless of the protocol setting.

 

###### Include Temperature Excursions

If set to yes, Temperature Excursions will be defaulted to be displayed on the DARF for the locations where a Temperature Excursion has been recorded through the Temperature Excursion pathway. IDS and Verify users can optionally choose to not include Temperature Excursions, regardless of the protocol setting.

 

###### Protocol Requires Inventory Tracking by Ordering Investigator

When creating a protocol, this setting is not defined and must be set by the site or they will not be able to receive inventory on the protocol. To learn more about this feature, please check out this article.

 

###### Patient Study Number Instructions

This field will display below the PSN field in the enrollment process. Please note, this field is only meant for a short sentence of information, such as “Please use format ###-111” when assigning PSN”.
