[Monitor Visits](https://vestigohelp.mccreadiegroup.com/en/knowledgebase/protocols?hsLang=en#monitor-visits) September 25, 2026 # Closing A Monitoring Visit Instructions for closing a monitor visit and access, documenting workload and fees, reviewing monitor activity, and managing protocol access after visit completion.  Sites can close a visit and access for a monitor on any visit and access; we recommend having the monitor complete all Action Items first. Closing the visit and access allows the site to: - Record the actual end date - Enter workload for the visit - Review any monitor notes and add any notes of your own - View all monitor actions during the visit - View any destruction or return authorizations - Charge a monitoring fee (optional)   **Note:** If Action Items exist, these should be completed by the monitor prior to closing the visit/access, however, sites can still charge monitor fees and record monitor visit workload without closing the visit. The access will end upon the access end date and time or upon closing the visit and access. Closing a monitor visit will terminate the monitor’s access to the protocol however, the monitor’s access to a protocol will terminate at the end date/time even if the visit has not been closed. A monitor can still log in to their account to view visit dates, reports, and any action items and comments entered but will not be able to access any protocols on that visit. If the visit/access is closed by the site before the original access end date/time, the access will end at the date and time of closing the visit/access. Whether or not the visit is closed, a user can do the following per each protocol (toggle the radio dial if multiple protocols are associated with the visit): - Review authorizations and cosigns of returns - Review Visit Comments and Action Items (visit and access cannot be closed if there are open Action Items) - Review Monitor Audit Log - Review IDS Notes - Add Workload time per protocol (time in minutes is seen on the Workload with Time Values tab)  Add fees per each protocol for the monitor visit A closed Visit/Access can be reviewed by selecting “View Visit”    These same steps can be used on a protocol for a monitor visit for a single protocol.   ![](https://vestigohelp.mccreadiegroup.com/hs-fs/hubfs/image-png-Sep-15-2026-04-23-35-0634-PM.png?width=670&height=402&name=image-png-Sep-15-2026-04-23-35-0634-PM.png) When a visit and access is closed, the monitor can continue to: - Log in but will no longer be able to access the protocol - Contact the site with questions regarding a protocol - Review and request availability at a site for a visit/access - Review their upcoming visits and access - Review their protocols at various sites - Review communication between the site and the monitor - Download a Visit Summary report and view Visit Notes (Comments and completed Action Items) on the protocol Removing a monitor from a protocol: 1. Monitor Visit 3. Remove        **Note:** If a monitor has an active visit on the protocol, they cannot be removed as a study contact.
