# Billing Accounts

## Instructions for site users managing billing accounts within Vestigo.

Use this article to add and manage billing accounts, account groups, and contacts. 

### Billing Accounts

Within the Vestigo Billing Management section, users can add a Billing Account. Billing accounts are financial accounts that the application bills to. Clicking on **Accounts** leads to a search screen as our clients may have hundreds of accounts.

​When adding or editing an account, the following screen appears:

**Note:** If an account is edited, the changes should cascade to any charges for that account that have not been processed by the billing cycle.

When you save a new account, you are prompted to add account contacts.

Account contacts identify the owners of the financial account and are also the individuals that can be automatically emailed an invoice or a statement of activity. Account contacts must be in the address book first. When adding a contact, select the contact, select the role they have for that account and whether or not the account contact should receive an email copy of the invoice or SOA.

**Tip:** Edits to billing accounts will be displayed in human readable format in the audit log viewer.

#### Account Groups

Accounts can be grouped and named. Sites with multiple facilities can utilize this functionality to separate their accounts as long as they are unique to only that facility and the protocol(s) attached to that account are only accessed from that facility.

Once groups are added to billing management, an additional dropdown field will display in the account management screen allowing you to select which group to put that account in.

#### Account Contacts

Contacts associated with an account may also receive an emailed invoice. There are three roles available to use:

- Account Billing Administrator
- Account Other Contact
- Account Primary Investigator

**Tip:** When a billing cycle has been generated, the invoices can be emailed out via Vestigo to any contact where “Send invoice/SOA emails to this contact” has been checked.

Billing Account Types

Vestigo allows for the billing account types to be customized per client. Account types can be added or edited. On the **Billing Main** screen or from the Billing Management dropdown, select **Manage Billing Account Types**.
