# Vestigo Billing Templates

## Instructions for site users who create and manage protocol billing fee templates.

Billing Fee Templates help standardize billing by allowing users to create reusable fee templates that can be applied to protocols and budgets during the protocol build process. 

#### Billing Templates 

Users can create billing fee templates and apply them to a protocol during the protocol build process.  The templates will aid in ensuring standardized billing and streamline adding billing fees to the protocol.  Templates can be created for different billing situations such as investigator initiated, or industry initiated or hazardous and non-hazardous protocols.  Billing Fees can also be designated for Protocol Orders and will be the default selections when building orders.   

The steps to adding a Billing Fee Template are:  

1. Within Billing Management, select Manage Billing Fee Templates.
2. On the Billing Template screen, select Add New to create a Name and add a Description (optional), then Save.
3. Select “Manage Fees” to the left of the template name.
4. Enter any fees and fee amounts (if differ from the Manage Fee library).
5. Select frequency and settings, as needed.

 On the front grid, there are additional links:  

- Edit: to edit the name or description associated with the template
- Copy as New: copy the template already created
- Delete: completely delete the template

 Within the template, there are additional settings:  

- **Block Automatic Price Updates**: any updates to a fee amount made in Manage Fees, will update the fee on the template if the checkbox is NOT checked; will not update if checked. The updates will also occur on any protocol where the fee name is used, and the Block Fee Update checkbox is NOT checked; will not update if checked.
- **Only charge when inventory exists:** the fee will only charge when inventory exists on the protocol. If no inventory is on hand, the fee will not charge retroactively when inventory does exist.
- **On Dispense/Daily Dispense:** On Dispense fees will charge for each prescription. Daily Dispense fee will only charge for the first prescription for a patient, when other prescriptions are entered for the same patient on the same protocol, on the same day. Each Order Build that should be included in the Daily Dispense option must have the same fee on it.

 Applications of Billing Fee Templates:  

- Billing Fee Templates can be loaded into Protocol Billing
- Billing Fee Templates can be loaded into Protocol Budgets
